What are Cash and Cash Equivalents?

Cash - includes currency and coins.
Cash equivalents - includes money orders, checks, traveler's checks, cashier checks, and certified checks. 

 

What are Cash Handling Units?

Campus departments that collect and deposit payments for various reasons are known as cash-handling units. Cash-handling units are defined as:

Main Cashiering Station - Campus operating unit from which collections are deposited directly to a University bank account.

Sub-cashiering Station - Campus operating unit from which collections are deposited to a Main Cashiering Station. These units typically perform cashier activities as a primary function and operate cash handling equipment.
Cash Handling Department - Campus operating unit that typically collects cash or cash equivalents and deposits to either a Main Cashiering Station or a Sub-cashiering Station.

 

Cash Handling Training Requirement

A mandatory Cash Handling Training course for all staff who handle cash and cash equivalents is now required, effective June 30, 2025. This training is essential to ensure that important University financial assets are protected, accurately and timely processed, and properly reported in accordance with UC Policy BUS-49: Cash and Cash Equivalents Received.

Register for Cash Handling Traning on UCLC 

Cash Handling Training is available on the University of California Learning Center (UCLC) website. Search for “cash handling training” or go to: Cash Handling Training on UCLC and register for the eCourse.

Cash handlers must take the training and pass the Knowledge Check 100% to get a completion certificate. Completion of this training is required before staff perform any cash handling responsibilities. Recertification is required after the expiration of the last certification date.

Departments requesting access in KSAMS for staff to initiate campus deposits using the Campus Online Deposit (COD) system, will be required to complete the Cash Handling Training before access is approved.
